Let's get started...

# Setup the WhatsApp Business App

Before engaging with SalesRook we need to ensure that your WhatsApp setup is correct.

This guide will walk you through the process of setting up WhatsApp Business for your work life.

By completing the following instructions, you'll be able to run *both* the standard and business versions of WhatsApp, effectively separating your personal and professional communications.

You can think of it as the WhatsApp equivalent of having an individual work email address (e.g., <john.doe@yourcompany.com>).

Setup varies slightly depending on whether

📱 - You use one mobile phone for everything (personal and work)

OR

📱+📱- You use two mobiles, one for personal, the other for business

### I have one mobile phone

If you use one mobile phone, to use WhatsApp and SalesRook legitimately, you'll need to run two version of WhatsApp from your device.\
\
Once complete, your setup will be:

<figure><img src="https://files.gitbook.com/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FRtHWXgYVqtzzxedxAcPf%2Fuploads%2FtPiEkYhlCS4Vawzc7yRV%2FScreenshot%202023-05-05%20at%2009.42.44.png?alt=media&#x26;token=5a5de963-12a1-415e-9ac9-dd9c37fcf23f" alt=""><figcaption></figcaption></figure>

**ACTION**: In your app store, please download and setup WhatsApp Business.

**IMPORTANT:** <mark style="color:red;">**Do not**</mark> set it up using your normal mobile number. You **MUST** use your direct-dial-in (DDI) line. This will be your personal work number - most likely the one linked to the phone at your desk.

If you're using two phones, you can install the standard WhatsApp on your personal device and WhatsApp Business on your work device.

### I have two mobile phones

Great. Setup will be easier for you because you can connect WhatsApp and Reapit via SalesRook using the WhatsApp account linked to your business mobile.

*n.b. If you're using the normal version of WhatsApp on your work phone, we highly recommend downloading and moving to use WhatsApp Business instead. It's free, and comes with many benefits for business use.*

The logo looks like this in the app store:

There are **two main ways** to initiate conversations and link them to Reapit:

1. Syncing ongoing conversations that already exist in WhatsApp.
2. Starting new conversations with contacts directly from Reapit.

Follow the steps below for both methods to ensure your WhatsApp communications are always connected to the right Reapit profile.

{% embed url="<https://salesrook.clarityflow.com/c/44371e15e078b0e5b2d3f18e4>" %}

**Method 1. Syncing Ongoing Conversations**

If you have an existing conversation in WhatsApp that you want to link to a Reapit profile, follow these steps:

1. **Select the Conversation**

   * Open WhatsApp and click on the conversation you want to sync.
   * SalesRook automatically searches your Reapit database and links it to the profile that matches:

   <figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FD7F9MDNiZQP9uhch21Ht%2Fimage%20for%20docs%201.jpg?alt=media&amp;token=3d694387-24d3-474f-b34c-f5c40f0e799f" alt=""><figcaption></figcaption></figure>

* In the yellow dropdown box on the right, select where you want to link the conversation:
  * **Applicant**
  * **Tenancy**
  * **Contact**
  * **Landlord**

2. **Sync Messages**

* SalesRook automatically syncs messages into Reapit - This triggers each time you click on a WhatsApp conversation&#x20;
* The sync will copy all **NEW** messages exchanged to the selected card in Reapit. SalesRook will **NOT** duplicate **ANY** conversations in Reapit
* You can, if required, manually sync by clicking the **Sync Now** button located in the bottom-right corner of the SalesRook panel.

5. **Conversations can be located in Reapit**

* Open Reapit and navigate to the record your chose **(contact/tenancy/applicant).**
* You should see the synced WhatsApp chat under **WhatsApp Chat Synced by SalesRook** in the activity feed
* Click **Show More** to view the specific messages, including the test message you sent.

***

**Method 2. Starting a New Conversation**

If the contact isn’t part of an existing conversation in WhatsApp, you can start a new one and link it to Reapit:

1. **Find the Contact in Reapit**
   * Locate the person you want to chat with in Reapit. In the video example, we use **Mr. S Proctor**.
2. **Copy Their Phone Number**
   * Copy the contact’s phone number from Reapit.
3. **Start a New Chat in WhatsApp**
   * Go back to WhatsApp and SalesRook, then click the **blue button** in the top-right corner.

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FkX86CQSn1Mydtif40KNq%2FUntitled.jpg?alt=media&amp;token=434df314-9465-4e05-b868-9d48ca1919c1" alt=""><figcaption></figcaption></figure>

* Paste the phone number into the field and click **Start Chat**.
* WhatsApp will start a conversation with that number
* SalesRook will search for the number in Reapit. If it finds a match, it will link the conversation to Reapit automatically - Please note this may take a few seconds
* From now on, every time you return to this chat in WhatsApp, any messages exchanged with this contact will automatically sync with their Reapit profile.

***

With these steps, you can easily manage WhatsApp conversations in Reapit, linking new or ongoing chats to profiles and ensuring all messages are stored in the CRM for future reference.

# initiate conversations and sync them to reapit

SalesRook Negotiator syncs your WhatsApp messages directly into Reapit CRM, so every conversation with a lead or client is organised and easy to find. This guide covers both ways to get a chat linked correctly.

{% embed url="<https://salesrook.clarityflow.com/c/44371e15e078b0e5b2d3f18e4>" %}

There are **two ways** to connect a conversation to Reapit:

1. Sync an ongoing WhatsApp conversation that already exists
2. Start a brand-new conversation directly from Reapit

***

## Method 1: Syncing an Ongoing Conversation

1. **Open the conversation** in WhatsApp and give it a few seconds. SalesRook detects the contact's phone number and displays the Reapit records connected to it.
2. **Select the correct record**, then click **Link to Chat** (the blue link button). The chat starts syncing straight away.
3. **Watch for the green banner** — a pop-up reading **"No more messages left to sync"** confirms the messages have synced successfully. Only **new** messages are copied across, so nothing gets duplicated.
4. **Check Reapit** — open the linked record and look in the **activity feed** for the synced WhatsApp thread. Click **Show More** to see the full conversation.

***

## Method 2: Starting a New Conversation

1. **Find the contact in Reapit** you want to message.
2. **Copy their phone number** from their Reapit record.
3. **Start the chat** — go to WhatsApp/SalesRook and click the **blue button** top-right, paste the number, and click **Start Chat**.
4. **Give it a few seconds** — SalesRook searches Reapit for a match. Select the correct record and click **Link to Chat** (the blue link button).
5. The chat syncs, and a green **"No more messages left to sync"** banner confirms it. From then on, every message in that chat syncs to their Reapit record automatically.

# Link a WhatsApp Chat to a Property Card

Here’s a step-by-step guide to help link a WhatsApp chat to a property card in Reapit, making it easier to track communication related to specific properties.

{% embed url="<https://salesrook.clarityflow.com/c/a8df2a64615e409ddd178e028>" %}
If you're speaking with a Vendor, it's highly likely that you will want the conversation to sync to the property card instead of the contact vendor card.
{% endembed %}

**1. Open WhatsApp and SalesRook**

* Ensure both **WhatsApp** and the **SalesRook** extension are open in your browser.

**2. Select the Conversation to Link**

* In WhatsApp, choose the conversation you want to link. In this video example, we select the conversation with **Remi SalesRook**.
* Currently, this conversation is linked to Remi’s **applicant card** in Reapit.

**3. Unlink the Contact**

* To link the conversation to a property instead, click the **Unlink Contact** button.
* This will unlink the conversation from the applicant card.

**4. Search for the Property**

* To connect the conversation to a property, click the **dropdown menu** that appears.
* You can search for the property either by **property ID** or **property address**. For this example, we’ll search by **property address**.

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FluV071LM75WZtojh3vne%2FUntitled.jpg?alt=media&amp;token=f7e5926c-ab9a-4b4e-9c14-dc406d972cdf" alt=""><figcaption></figcaption></figure>

**5. Search for the Property Address**

* In the search field, type the address or a keyword from the property name. For instance, enter '**79 Sakura'** to find properties containing this word.
* Press **Search**.

**6. Select the Correct Property**

* SalesRook will search the Reapit database for properties matching your search term. In this example, we select **79 Sakura Walk** from the list.
* The conversation is now linked to the **property card** for this address in Reapit.

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FGPYCAlCTqeaUHCDE8GYN%2FUntitled.jpg?alt=media&amp;token=475ef06a-172f-451b-ba85-377ab0d6a0a6" alt=""><figcaption></figcaption></figure>

**7. Verify in Reapit**

* Open Reapit and navigate to the **property card** for **79 Sakura Walk** (example)
* You should see the WhatsApp chat listed under **WhatsApp Chat Synced by SalesRook**

***

By following these steps, you can easily manage and sync WhatsApp conversations to specific property cards in Reapit, helping you stay organized and ensure all property-related communication is correctly stored.

**Select the correct property**

Select the correct property from the matching results, then click **Link to Chat** (the blue link button). Give it a few seconds and the chat will start syncing.
{% endstep %}

{% step %}
**Confirm it synced**

A green **"No more messages left to sync"** banner is your signal it worked. Open the property card's **activity feed** to see the full synced thread.
{% endstep %}
{% endstepper %}

***

This keeps all property-related conversations exactly where the rest of your team will look for them.

# Troubleshooting Issues with WhatsApp Business and SalesRook

Common issues users face when using WhatsApp Business, along with best practices and advice on how to resolve them.

While SalesRook helps streamline your WhatsApp messaging by syncing with Reapit CRM, it’s important to note that **SalesRook does not control the WhatsApp platform itself**. Your use of WhatsApp Business as an individual user is subject to the [WhatsApp Business Terms of Service](https://www.whatsapp.com/legal/business-terms). Below are common issues users face when using WhatsApp Business, along with best practices and advice on how to resolve them directly with WhatsApp.

***

### **Problem 1: "I was in the middle of sending a message and have now been blocked from WhatsApp Business."**

**Explanation:** WhatsApp may block users for engaging in behaviour that appears spammy. This often happens if you:

* Register a new number and send mass messages to many people at once.
* Copy and paste the same message to numerous recipients.
* Contact clients out of the blue with no prior communication history, and those clients either don't respond or block/report you.

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2Fupkad1mKAMvIq5N5leZf%2FIMG_3771.jpg?alt=media&amp;token=8e715b7d-723e-4bde-b4b1-331aecb0d75f" alt="" width="188"><figcaption></figcaption></figure>

**Best Practices:**

* **Warm up your account:** Avoid messaging hundreds of contacts right after registering a new number.
* **Avoid repetitive messaging:** Sending the same message template to multiple recipients looks like spam and can trigger a block.
* **Check the number’s history:** If your Direct Dial-In (DDI) number was previously issued and misused, you may want to contact your DDI provider for a new number.

**How to Resolve:** If your account has been blocked, you can appeal to WhatsApp. Visit [WhatsApp Support](https://www.whatsapp.com/contact) to find the appropriate contact method. Explain your situation and request reinstatement.

***

### **Problem 2: "I received the message 'This account can no longer use WhatsApp Business. Recent activity does not follow the WhatsApp Business Terms of Service.' Can you fix it?"**

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FIGU7QG86wB1cqeJGQbEr%2FWhatsApp%20Image%202024-09-18%20at%2011.58.13.jpeg?alt=media&amp;token=f58b6d2c-d401-4165-8d97-b6b5fb531b4f" alt="" width="188"><figcaption></figcaption></figure>

**Explanation:** This message usually means your account has been flagged for sending spammy or impermissible communications. Common reasons include:

* Sending the same message to too many contacts.
* Engaging in unsolicited communication with clients who block or report you.

**How to Resolve:** Unfortunately, SalesRook cannot resolve this issue for you. You will need to contact WhatsApp directly. Use the following template to send an appeal email:

**Subject:** Question about WhatsApp Business for iPhone

**Email body:**

> Request for Account Reinstatement Due to Unwarranted Blocking WhatsApp Number: \[INSERT NUMBER]
>
> Dear WhatsApp Customer Service,
>
> I hope this message finds you well. I am writing to kindly request your assistance in reviewing and reinstating my WhatsApp Business account, which has recently been disconnected. It appears there has been a misunderstanding regarding the activity on my account.
>
> I have always adhered to WhatsApp’s guidelines and have not knowingly engaged in any violations. All my contacts are professional connections who have provided their information in compliance with GDPR and have requested communication through WhatsApp for professional purposes.
>
> I kindly request that your team review my account and reinstate it at your earliest convenience, as it is essential for my work.
>
> Thank you for your attention to this matter.
>
> Regards, \[INSERT NAME] WhatsApp Number: \[INSERT NUMBER]

Email this to the contact provided by WhatsApp at [WhatsApp Support](https://www.whatsapp.com/contact).

***

### **Problem 3: "I've downloaded WhatsApp Business, but I'm not receiving the verification code required to activate my account."**

**Explanation:** This is a common issue during the account registration process, but unfortunately, SalesRook cannot assist with this. The registration process for WhatsApp is managed entirely by WhatsApp itself.

**Best Practices:**

* Double-check your phone number and ensure it is correctly entered.
* Make sure you have a stable internet connection.
* Confirm that your phone can receive SMS messages or calls.

**Additional Troubleshooting Steps:** Some other actions that we’ve tried in the past that are worth trying:

* **Turn off Wi-Fi and use cellular data instead.**
* **Turn Data Roaming on** (iPhone: Settings > Cellular > Cellular Data Options > Data Roaming), and toggle **"Limit IP address tracking"** off.
* **Change phone region to UK or United States** (Settings > General > Language & Region).
* **Turn off any VPN** if you’re using one.
* If you’re not using a VPN, **try turning one on** and setting the location to the UK.

**How to Resolve:** If you're still not receiving the verification code, contact WhatsApp support directly for assistance through [WhatsApp Support](https://www.whatsapp.com/contact).

***

### **Problem 4: "Is there any way someone from your team could help one of my employees with WhatsApp? They keep getting their account blocked, and I can’t figure out why."**

**Explanation:** We can provide best practice advice, but unfortunately, resolving WhatsApp account bans is beyond SalesRook’s control. Typically, account blocks occur because the user is sending the same message to too many people in a way that appears like spam.

**Best Practices:**

* **Avoid repetitive messaging:** Train your team to avoid copy-pasting the same message to multiple recipients, which can trigger WhatsApp's spam filters.
* **Use different numbers:** If the account keeps getting banned, consider switching to a new phone number to prevent further blocks.

**How to Resolve:** Have the employee send an appeal to WhatsApp using the following email contact: **<smb_web@support.whatsapp.com>**. Be sure to include the phone number in question and request a review of the account status. Alternatively, try registering a new number for the employee.

#### *Final Reminder: WhatsApp is Not Our Product*

*Please remember that SalesRook integrates with WhatsApp but has no control over WhatsApp Business accounts, their registration, or their banning processes. For any account-related issues, it’s best to consult directly with WhatsApp Support.*

# Welcome Letter to Estate Agents

Important: Your New Lead Management System is Now Live!

Hello team,

**Important change to your workflow**: Starting today, you'll no longer receive enquiry emails directly from Rightmove, Zoopla, and other portals. Instead, you'll receive **(Read This)** emails from SalesRook with fully qualified leads.

This email explains this important transition and how it will transform your daily operations. Please take a few minutes to read through this information and **forward this to everyone on your team** to ensure everyone understands the new process.

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FHYaT0wKAs9YbjqhZmy1P%2FSalesRook%20-%20March%205%20Slides%20(1).png?alt=media&amp;token=c2bc0723-cf5e-46b9-825a-4cd4023e600d" alt=""><figcaption><p>Look at the difference - from bare-bones enquiry before to a complete applicant profile.</p></figcaption></figure>

## Welcome to SalesRook Core! 🚀

Congratulations on joining the future of property communications! We're thrilled to have your team onboard and can't wait to help you transform how you handle enquiries, qualify leads, and uncover new valuation opportunities.

### How Does SalesRook Core Work?

SalesRook Core gives you a powerful AI assistant (your AI Persona) that revolutionises your property business:

* **Instant Responses**: Your AI Persona immediately engages with applicants via WhatsApp when they enquire through Rightmove, Zoopla, OnTheMarket, your company website, and other portals
* **Smart Lead Qualification**: Automatically collects essential information (budget, timeline, preferences) and identifies sales opportunities
* **Hidden Opportunity Detection**: Uncovers valuation opportunities and mortgage referrals that might otherwise be missed
* **CRM Integration**: Sends detailed summaries directly to your CRM (Reapit, Alto, Acquaint, LeadPro etc) and your branch inbox

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FbutlOrkor5Od5GKSGh7e%2FSalesRook%20-%20March%205%20Slides%20(3).png?alt=media&amp;token=90cd44b4-c7c7-4b6f-9a39-6ed52161d33e" alt=""><figcaption><p>Now when someone enquires about a property, they immediately receive a personalised WhatsApp message.</p></figcaption></figure>

### How Does This Affect Me as a Negotiator?

Here's how SalesRook Core will transform your daily workflow:

* **Save 25+ Hours Per Week**: No more manual follow-ups or data entry for portal enquiries
* **Focus on High-Value Activities**: Spend more time on viewings, valuations, and relationship building
* **Better-Qualified Leads**: Receive comprehensive applicant profiles with all essential information already collected
* **Never Miss an Opportunity**: Every valuation opportunity and mortgage referral is automatically identified and flagged

Instead of starting each day with basic portal enquiries requiring phone calls and chase-ups, you'll receive fully-qualified leads with detailed profiles and clear next steps.

### Response Protocol & Timing

Your AI Persona works on a strategic communication schedule:

* **Initial Response**: Instant engagement when an enquiry comes in
* **Follow-up Nudge**: If no reply after 1 hour, a gentle follow-up is sent
* **Timeout Process**: If still no reply after another hour, the conversation is considered "timed out" and a summary is sent to your team

This balanced approach ensures maximum engagement without being intrusive while providing timely updates to your team.

### Understanding Email Notifications

#### What is a (Read This) Email?

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FQRTxNzJUnd28jvYCT8Oa%2FSalesRook%20-%20March%205%20Slides%20(2).png?alt=media&amp;token=dc7e5d6e-9ec7-4435-9214-213a162e5e06" alt=""><figcaption><p>A (Read This) email - every detail is captured, organised, and delivered to you.</p></figcaption></figure>

Emails marked with **(Read This)** contain important qualified lead information or valuation opportunities that require your immediate attention. These are high-priority communications that have been pre-qualified and are ready for your follow-up.

Look for these key elements in each summary:

* Applicant's full contact details
* Property preferences and requirements
* Budget and timeline information
* Potential valuation or mortgage referral opportunities
* Suggested next steps<br>

### Understanding SalesRook Outcomes

Every enquiry processed through SalesRook Core receives a **SalesRook Outcome** status, which appears in all (Read This) emails and AI summaries sent to your CRM integrations. This helps you quickly prioritize your follow-up actions:

* **Qualified by AI** ✅ - The contact has fully completed the qualification questionnaire agreed during onboarding. These leads are ready for immediate follow-up and have been passed directly to your team.
* **Responsive Unqualified** ⏳ - The contact has engaged with your AI Persona but hasn't finished the complete qualification process. SalesRook will continue following up to get them fully qualified, but you'll receive them in this status if they don't complete it.
* **Unresponsive** ❌ - The lead hasn't responded to your AI Persona following the initial contact and follow-up attempts.

**Important:** Any lead that is not fully qualified may respond later and change their SalesRook Outcome to "Responsive Unqualified" or "Qualified by AI."

### Handling Common Scenarios

#### What if Someone Calls the Office Asking to Speak to Your AI Persona?

If a client calls asking to speak with your AI Persona (like "Grace"):

1. **Be Natural**: "Grace works with our digital team handling enquiries. I'm her colleague \[Your Name] and I have all your details here. How can I help?"
2. **Focus on Service**: "I see you've been discussing \[property/requirement] with Grace. Let me pick up where she left off."
3. **Maintain Continuity**: Review the conversation summary before speaking to ensure a smooth transition.

#### What if Someone Recognises This is AI?

If a client mentions they're speaking with AI:

1. **Be Transparent**: "Yes, we use AI to ensure instant responses 24/7, but rest assured your enquiry is being handled with the same care and attention as always."
2. **Emphasise the Benefits**: "This allows us to respond immediately at any time and collect all your requirements so our team can focus on finding you the perfect property."
3. **Transition to Human Support**: "I'm \[Your Name], a real person here to help you now that we understand your requirements. How can I assist further?"

### Understanding Conversation Quality

Based on our extensive sentiment analysis across thousands of conversations, the vast majority of interactions between your AI Persona and potential clients will be positive and productive. Over 95% of conversations are rated as "good" or "excellent" by clients, with many specifically praising the quick, helpful responses.

However, as with any system, not every single conversation will be perfect. You might occasionally encounter a conversation that didn't go as smoothly as we'd hope. Please don't let one or two less-than-ideal interactions cloud your overall impression of the system.

Our data shows that:

* Most applicants appreciate the instant responses, even outside business hours
* The quality of information gathered is consistently high
* The conversion rate from enquiry to viewings increases significantly

<figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2Fu9V8VAGhKwar4WcEKv9j%2FSalesRook%20-%20March%205%20Slides%20(4).png?alt=media&amp;token=b08bf771-5f11-45c7-9374-29096166908b" alt=""><figcaption><p> The vast majority of interactions between your AI Persona and potential clients will be positive and productive</p></figcaption></figure>

#### Reporting Issues with AI Summaries

If you notice any issues with the AI summaries or interactions:

1. Email <support@salesrook.com> with "Summary Feedback" in the subject line
2. Include the property reference and applicant name
3. Briefly describe the issue (e.g., "Missing information," "Inaccurate summary," "Tone concerns")
4. Our team will review and improve the system promptly

Your feedback helps us continuously refine the system for even better results.

# Understanding AI Response Times During Testing vs Real-World Usage

Learn why AI response times during testing feel different from real-world usage, and understand the technical factors behind WhatsApp-based conversations.

When testing SalesRook's AI personas, you may notice response times that feel slower than expected, particularly during concentrated testing sessions. This article explains why testing scenarios differ significantly from real-world usage patterns and what to expect during both.

### The Difference Between Testing and Real Usage

#### Testing Scenario

* Focused on completing the conversation quickly
* Continuous back-and-forth messaging
* Heightened awareness of any delays
* Goal is to efficiently evaluate the system

#### Real-World Usage

* Conversations unfold naturally over time
* Responses happen between other daily activities
* No pressure to complete quickly
* Goal is to share information to secure a property

### Why Response Times Vary

#### WhatsApp Infrastructure

SalesRook's AI personas operate within WhatsApp's messaging infrastructure, which involves multiple routing steps:

```
Your Message → WhatsApp → WhatsApp Business Servers → SalesRook AI → Response back through the same chain
```

This multi-hop architecture inherently adds latency compared to direct web interactions, but it's the trade-off for meeting customers where they already communicate.

#### Common Technical Factors

* **API Rate Limiting**: WhatsApp Business API has built-in rate controls
* **Server Capacity**: Brief delays during peak usage periods
* **Network Connectivity**: Temporary issues between WhatsApp servers and our processing systems
* **AI Model Processing**: Occasional queuing or retry requirements at the AI provider level

While some level of latency is inherent to the multi-step WhatsApp infrastructure, delays extending beyond normal conversational rhythm are uncommon and standard across all WhatsApp Business applications.

### Real-World Usage Patterns

Our analysis of 50,000+ weekly property enquiry messages shows that authentic enquirers demonstrate remarkable patience with the conversation flow because they're genuinely interested in the property.

#### Typical Conversation Timeline

* **Duration**: 2-3 minutes of actual conversation
* **Real Time**: Often unfolds over 10-15 minutes or several hours
* **Context**: Response happen while:
  * Making coffee or having dinner
  * Commuting to work
  * Browsing other properties
  * Handling daily activities

#### User Expectations

Just as there's no expectation that a human agent would reply within 5 seconds to every message, real applicants don't expect instant responses. A 30-60 second processing delay feels entirely natural within this conversational rhythm.

### What Users Are Accustomed To

#### WhatsApp Platform Norms

Regular WhatsApp users are familiar with:

* "Waiting for this message" notifications
* Temporary delivery delays
* Message retry requirements
* Variable response times

<div align="left"><figure><img src="https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FNybvmImBptvt9idfrk7s%2Fwaiting-for-this-message-whatsapp.jpg?alt=media&amp;token=e7dc4cc5-ee5e-4896-b4ef-c82c661c841c" alt="" width="320"><figcaption></figcaption></figure></div>

#### AI Platform Experience

Users of ChatGPT and similar services regularly encounter:

* "Something went wrong" messages
* Temporary access unavailability
* Processing delays requiring retries
* System capacity limitations

![](https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2F8GibmqpMZO4BlOTQYhJ7%2FScreenshot%202025-07-23%20at%2014.57.09.png?alt=media\&token=aed11720-877b-48d5-9785-38ede81afff3)![](https://1667602189-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDhKsMHvtrroLslryu0DA%2Fuploads%2FLa5rPquRIyeE31QjDCC8%2FScreenshot%202025-07-23%20at%2014.58.58.png?alt=media\&token=5ee48db9-696f-4b12-9be4-604c580cd788)

### Data Insights

Our sentiment analysis across all processed messages shows:

* Response time complaints are virtually non-existent
* High engagement rates throughout conversations
* Completion rates remain consistently strong
* User satisfaction scores unaffected by brief delays

### Best Practices for Testing

#### Setting Expectations

1. **Understand the medium**: WhatsApp conversations naturally have a different rhythm than web forms
2. **Allow natural pacing**: Don't rush through the conversation
3. **Test multiple scenarios**: Try testing at different times and with varying response speeds
4. **Consider context**: Remember that real users are multitasking

#### Training Your Team

* Explain the difference between testing urgency and real-world usage
* Share examples of typical conversation timelines
* Emphasise the value of the rich data collected vs. speed
* Highlight that users choose WhatsApp for convenience, not speed

### Troubleshooting Persistent Issues

If you experience consistent delays longer than 2-3 minutes:

1. **Check your internet connection**
2. **Try refreshing the WhatsApp web/app**
3. **Test at a different time of day**
4. **Contact our support team** if issues persist

### Summary

The natural rhythm of WhatsApp conversations, combined with the infrastructure realities of AI processing, creates response times that may feel slow during focused testing but are completely normal for real users engaging authentically with your property enquiries.

Remember: Real applicants are sharing information they believe will help them secure their next home - they're not trying to complete a test efficiently.

### Tips and Best Practices

#### For Valuations Analysis & SalesRook Attribution

When analysing valuations opportunities and measuring SalesRook's performance, include these fields:

* **All address fields** (especially Postcode - for matching with SalesRook data)
* **Status fields** (to identify current instruction status)
* **Created Date** (when the property first entered your system)
* **Instructed Date** (when you won the instruction - critical for conversion tracking)
* **Exchange Date** (for sales properties - measures final completion)
* **Last Tenancy Start Date** (for lettings properties - tracks successful lets)
* **Last Modified Date** (to prioritise recent activity)
* **Primary contact details** (to reach property owners)

These date fields enable SalesRook to create attribution reports showing:

* Which enquiry sources convert to instructions
* Time from initial enquiry to instruction
* Completion rates by source (exchanges/tenancy starts)
* Full journey tracking for ROI analysis

#### Naming Your Templates

Use clear, descriptive names like:

* "Sales Properties - Full Export"
* "Lettings Valuations Analysis"
* "Monthly Property Report"
* "SalesRook Attribution Export"

#### Running Regular Reports

Consider scheduling regular exports (e.g., quarterly) to:

* **Track SalesRook performance** over time with attribution analysis
* **Identify trending postcodes** and high-performing sources
* **Monitor instruction conversion rates** across different channels
* **Spot opportunities for follow-up** on stalled valuations
* **Justify marketing spend** with data-driven insights

**Pro tip:** Export data covering at least 6 months for meaningful trend analysis. Include properties modified/created during your analysis period to capture the complete picture.

***

### Troubleshooting

**Problem:** Report returns no results

* **Solution:** Check your search criteria aren't too restrictive. Use a future date for the "Registered before" filter.

**Problem:** Can't find a specific field

* **Solution:** Contact Reapit support for the correct merge code, or check Reapit's documentation.

**Problem:** Template doesn't save

* **Solution:** Ensure you've given it a unique name and have the necessary permissions.

***

### Integrating with SalesRook

Once you've exported your property data, you can work with the SalesRook team to create comprehensive **valuations attribution analysis**.

#### Why This Matters

Understanding which sources generate your most valuable instructions is critical for optimising your marketing spend and lead generation strategy. By exporting your Reapit property data, SalesRook can help you:

**Track Performance by Source**

* Identify which enquiry sources (Company Website, SalesRook, Rightmove, Zoopla, OnTheMarket) convert to instructions
* Compare conversion rates across different channels
* Measure which sources drive actual completions (sales/lettings)

**Measure SalesRook's Impact**

* Attribute valuations captured by your AI persona to actual instructions
* Track the full journey from initial enquiry to instruction to completion
* Calculate ROI on your SalesRook investment

**Optimise Your Strategy**

* Identify high-performing sources to increase investment
* Spot underperforming channels that need improvement
* Make data-driven decisions about portal spending

#### What SalesRook Does With Your Data

When you provide your Reapit property export, we:

1. **Match valuations to instructions** - Cross-reference postcodes and addresses from SalesRook-identified valuations with your actual property records
2. **Calculate conversion rates** - Determine how many SalesRook-captured leads became instructions vs other sources
3. **Track outcomes** - Monitor which instructions progressed to exchange/completion
4. **Create visual reports** - Deliver clear dashboards showing performance by source
5. **Provide actionable insights** - Highlight opportunities to improve conversion rates

#### Example Analysis

A typical SalesRook valuations analysis report includes:

* **Source comparison** - Properties, instructions, and completions by enquiry source
* **Tracked vs untracked** - Visibility into historical data before SalesRook implementation
* **League tables** - Performance rankings across all tracked sources
* **Conversion funnels** - Visual representation of enquiry → instruction → completion

This analysis helps you demonstrate the value of AI-powered lead qualification and justify continued investment in tools like SalesRook.

#### How to Share Your Data

1. Export your property data following this guide
2. Send the Excel files to your SalesRook account manager or <support@salesrook.com>
3. We'll typically deliver your analysis within 1-2 weeks

**Recommended export frequency:** Quarterly or bi-annually to track performance trends over time.

***

### Key Benefits

* **Instant Property Alerts:** The moment you get new instructions, reach everyone who's been looking for that type of property. No more waiting weeks for the right buyer to walk through your door.
* **Reactivate Old Leads:** Got a database full of contacts from months ago? Bring them back to life with targeted messages about new properties that match what they were looking for.
* **Beat the Competition:** While other agents are still posting on Rightmove and waiting, you're already texting serious buyers directly. First contact often means first sale.
* **Precision Targeting:** Reach specific segments of your database with laser-focused messaging that speaks directly to their needs and preferences.
* **Cost-Effective Growth:** Leverage your existing lead database without additional advertising spend, maximizing your ROI on previous marketing investments.
* **Time-Saving Automation:** Send hundreds of personalized messages in minutes, not hours, freeing up your team to focus on closing deals.

***

### Proven Use Cases

**Property-Specific Campaigns**

Send targeted messages about new listings that match your leads' specific criteria - whether they're looking for luxury condos, family homes, or investment properties. Your message lands directly in their inbox when they're most likely to be interested.

**Segment-Based Outreach**

Identify and communicate with distinct groups within your database:

* Landlords: Share investment opportunities and property management services

**Step 3:** Smart Scheduling - Your messages are queued to go out at optimal times over several days to maximise response rates, rather than hitting everyone at once.

**Step 4:** Easy Contact Options - We make it simple for leads to reach you:

* Leads can contact you instantly with one tap

**Step 5:** Track & Respond Your messages go out **within 2 working days**, then you handle the responses and book those viewings!

***

**Ready to Fill Your Diary with Viewings?**

Your database is sitting there full of potential buyers and sellers. Broadcasting turns those contacts into actual business - fast.

Stop letting other agents get there first. Start using the direct line to your clients that's already included in your package.
